Job Title: Administrative Manager

Employment Status: Part-Time or Full Time

Salary: $20/hr FT or $45 PT

The Albert C. Wiltshire Employment Center recruits qualified candidates for positions within the Brooklyn Navy Yard, a 300-acre industrial park housing over 400+ businesses within the manufacturing, food, media, technology, and creative fields.

This is a full-time on-site role for an Administrative Manager at a Brooklyn Navy Yard company.

The Administrative manager will additionally support the execution of other grant deliverables such as development of company marketing and commercialization initiatives and community outreach strategies and programs. The ideal candidate will have strong organizational and leadership skills, as well as a solid background in administrative tasks. As an Administration Manager, you will be responsible for managing the administrative staff, coordinating office procedures, and ensuring the smooth running of our office.

Responsibilities:

 In general, work with company officers and staff to implement office organization and ways of doing things

● Work with the firm’s accountant and bookkeeper to maintain books and accounts

● Manage relationships with vendors and manage accounts payable

● Prepare invoices and manage accounts receivable

● Work with company officers and staff to track sub consultant and vendor contracts on projects. Coordinate with counterparts at subconsultant vendors and firms.

● General Office Management responsibilities

 On behalf of the company, work with building management and handle facilities-related issues as they arise (mail, cleaning, trash removal, etc.)

○ On behalf of the company, work with the IT vendor to implement IT and management initiatives,

○ Manage software and application licensing for products and services not managed by our IT consultant.

○ Oversee the maintenance of office equipment and supplies

○ Manage the office budget and expenses

○ Coordinate and schedule meetings, appointments, and travel arrangements

○ Handle confidential information with discretion

○ Assist with training and development of new administrative staff members

○ Ensure compliance with company policies and procedures

○ Provide support to other departments as needed

● HR Administration related responsibilities

○ Administer staff benefits and coordinate with insurers

○ Address compliance with requirements pertaining to insurance, paid leave, and related voluntary office policies.

○ Implement office policies

● Project Related Responsibilities

○ Administer and coordinate fi lings with public authorities and agencies including New York City and State agencies.

Skills and Qualifications:

● BA required.

● Proven experience as an Administration Manager or similar role

● Proficient in using QuickBooks for financial management tasks

● Excellent communication and interpersonal skills

● Strong organizational and multitasking abilities

● Knowledge of administrative processes and systems

● Experience in training development is a plus

● Ability to work independently and prioritize tasks effectively

● Graphic skills and use of Creative Suite a plus

● Work experience in design, construction, or sustainability fields and in collaborative work environments.

● An abiding interest in issues of the environment, including sustainability, resilience, robust solutions, and environmental justice.

Anticipated salary range and benefits:

Part time role for an experienced office administrator: 20 hours per week @ $45/hour – or – Full time for an entry level role @ $20/hour + benefits

Total anticipated salary for first year: $45,000 with the possibility to expand the role and compensation as the company grows.
