This is an onsite position reporting to the Brooklyn Navy Yard Monday-Friday, 8am-4pm
Summary
The Brooklyn Navy Yard Development Corporation (BNYDC) is the not-for-profit corporation that serves as the real estate developer and property manager of the Yard on behalf of its owner, The City of New York (the City). This role coordinates the day-to-day activities of the building staff and contract services to fulfill the needs of BNY tenants. They will develop and maintain strong working relationships with tenants within our ecosystem and ensure concerns are resolved in a timely manner. They will also provide general administrative and accounting support for the Property Management team.
Areas of Responsibility
- Provide excellent customer service and maintain good relationships with BNY tenants & vendors
- Act as the first point of contact for tenant service calls, requests, and issues. Direct requests to the appropriate staff and track open issues to resolution.
- Manage Work Order workflow, including issuing and obtaining approvals for work order requests, preparing and analyzing Work Order reports, and making recommendations for process improvements
- Help tenants navigate their Tenant Manual as needed for questions related to building policies and procedures
- Prepare vendor service contracts and obtain vendor bids for special work and/or services
- Obtain and file tenant and vendor documentation/paperwork and contact lists
- Assist with billing by processing invoices, updating the accounting system, preparing sundry billings, producing purchase orders, obtaining W-9 forms and Certificates of Insurance (COI), etc.
- Handle general administrative tasks such as answering phones, ordering supplies, preparing spreadsheets and reports, greeting visitors, attending meetings and taking notes, and other related duties
- Maintain correspondence between BNYDC metering companies (e.g. Energy Spectrum and Bay City)
- Coordinate with the Security team and other BNYDC departments to create and post building notices as needed

Required Skills and Abilities
- Strong project management, planning, and organizational skills
- Strong communication skills across all levels of the organization, both oral and written
- Strong multi-tasker with the ability to manage multiple deadlines, and prioritize work requests
- Strong attention to detail with experience in data entry, scheduling, and filing
- Proficient at preparing professional memorandums, letters, reports, documents, etc.
- Ability to establish and maintain good working relationships with tenants, contractors, sub-contractors, clients, and employees
- Ability to look for new ways to improve internal processes and workflows
- Proficient in Microsoft Office with advanced knowledge of Word, Outlook, and Excel
- Experience with Yardi or other real estate related tools preferred
Qualifications
- 2+ years of experience in office administration, accounting, or tenant services required
- Highschool diploma or GED required; College degree preferred
- Experience with account payables, receivables, budgets, and expenditure control preferred
- Experience providing business-to-business customer service preferred (in a real estate office is a plus)
