A Brooklyn Navy Yard Development Corporation employer partner is seeking a highly capable is seeking a highly proactive Administrative Assistant with a background in architecture, construction, or the built environment to provide operational, administrative, and project coordination support. This role is ideal for someone who has experience working with government or public-sector agencies, thrives in a dynamic environment, and demonstrates intellectual curiosity about the design and construction process.

The ideal candidate is adaptable, resourceful, and comfortable pivoting between tasks based on project phases and sub-consultant collaboration.

Key Responsibilities:
Administrative & Operational Support

Provide day-to-day administrative support to the Principal and project teams.
Maintain calendars, schedule meetings, coordinate travel, and manage internal team logistics.
Assist with office operations, including document management, filing, tracking project deliverables, and supporting procurement needs.

Project Coordination:

Support project workflows by preparing documentation, assisting with fee proposals, organizing project schedules, and tracking milestones.
Coordinate communication among sub-consultants (architects, engineers, contractors) and public-sector stakeholders.
Assist with compiling reports, submittals, and presentations for government and institutional clients.

Client & Stakeholder Interaction:

Serve as a professional point of contact for clients, agency representatives, and design partners.
Help manage communication and follow-ups to ensure deadlines are met, especially across complex, multi-disciplinary teams.

Problem-Solving & Adaptability:

Approach challenges with an ad-hoc, solutions-oriented mindset to keep projects moving forward.
Demonstrate strong situational awareness and the ability to pivot priorities as new tasks or sub-consultant needs emerge.
Maintain a proactive stance—anticipating needs, flagging issues early, and taking ownership of operational gaps.

Required Qualifications:

Experience in architecture, construction, engineering, urban planning, or related built-environment field (administrative, operations, or project-support capacity).
Experience working with government or public-sector agencies (permitting, compliance, community projects, or public procurement).
Minimum 3–5 years of administrative, operational, or coordination experience.
Strong organizational skills with the ability to manage competing deadlines.
Demonstrated intellectual curiosity about design, architecture, or public‑realm projects.
Excellent communication skills—written, verbal, and interpersonal.
Ability to thrive in a fast-paced, small-practice environment with shifting priorities.
Proficiency with Microsoft Office Suite; bonus for Adobe Creative Suite, project management software, or cloud-based collaboration tools.

Preferred Qualifications:

Prior experience supporting landscape architecture, architecture, construction management, or engineering firms.
Familiarity with public-sector contracting, MWBE procurement, or capital project processes.
Experience coordinating with multi-disciplinary teams, consultants, and municipal agencies.
